Please kindly read these terms and conditions carefully before booking a trip with us.


References to “Swallow Travel”, “us”, “we” and/or “our” in the following Terms & Conditions shall mean Swallow Viet Nam Tour,.JSC

References to “customer”, “you” or “your” shall mean the named person who places the order and where the context requires (including in respect of liability and responsibility provisions) includes all persons intending to travel on the order.

References to “Suppliers” shall mean suppliers and travel product and service providers.


We run our tours every day that means we are "always available" except Vietnamese New Year - Tet holiday. If you can only travel during Tet holiday, please contact us before booking the tour through our website. Itineraries can be changed as a result of the uncontrollable weather conditions. In case of hotels, or Halong Bay cruises, being full booked or if they are under renovation, we will change the hotels and Halong Bay cruises to similar standard option.

  1. PRICE

The price is quoted in USD on our website. The prices mentioned in this edition are examples of applicable prices, valid for the indicated period of time and until the new prices are presented. The price must be indicated by the travel agent to the customer at the time of the registration. The prices exclusively include the described services in our programs and tables of prices. The price is not included the complementary insurances, the services applying before the registration at the departure airport, the services applying on the way back after the end of the trip and/or after registration at the airport, the possible transit nights in case of flight problems, tipping and other personal expenses, private transportation not included in the package trip, extra excursions, meals and drinks if not included in the program. Any other trips or excursions not included in the trip must be submitted to the approval of Swallow Travel and engage to additional charges.


The customer can give the contract to someone else if this new customer satisfies the same conditions (same means of accommodation, same trip, same number of passengers, children in the same age). The customer must inform the travel agent of his decision by written letter. The change of customer may occur complementary administrative charges.


The mentioned prices are definitive except in the following cases:

  • Fluctuation of the transportation costs, especially in regard to the petroleum price.
  • Fluctuation of the taxes linked to the offered services such as the landing taxes, boarding taxes.
  • Fluctuation of the exchange rates.

In case of modification of the prices because of the cases mentioned above, Swallow Travel reserves the right to modify the prices as following:

  • The fluctuation of the petroleum price will be integrally included in our prices
  • If the customer has already booked the excursions or services offered by Swallow Travel, the prices will stay unchanged.


The customer is required to pay a deposit for the booking to be confirmed (Please note that special deposit requirements are applied for some trips). If your booking is made within 30 days of the departure date then the full amount is payable at the time of booking. The remaining amount could be paid when we meet on arrival at hotel or pay us in advance before starting your tour, as per your discretion. Deposit payment can be settled by wire transfer, credit card, debit card or Paypal. We accept UnionPay, Visa card, MasterCard and AMEX card since Swallow Travel is a verified member of OnePay system. Your card information will be protected during the transmission by using security system with OnePay. The currency exchange rate and foreign transaction fee is determined solely by your bank on the day that they process the transaction. If you have any questions about these fees or the exchange rate applied to your booking, please contact your bank.


All cancellation from the customer arise additional charges as follows:

If you cancel some or all portions of your booking, cancellation fees will be applied. The effective date of cancellation will be the date receiving written notification. The cancellation charge will be deducted as follows:

  • More than 14 days prior to departure: 50% of the tour price
  • 7 - 14 days prior to departure: 70% of the tour price
  • Less than 7 days prior to departure or no-show: 100% of the tour price

All these cancellation fees stem from the cancellation policies of our suppliers (airlines, hotels, and cruise companies). If there is any change in the cancellation policies of our suppliers, the cancellation charges may, at our discretion, be adjusted accordingly.

In some special cases, we are flexible to change travel dates for you without surcharge, so please contact us for further information.


A modification of booking by the customer won’t lead to complementary charges in the following cases:

  • Increase of the number of pax,
  • Increase of the number of services,
  • Change of hotel, without a change of the departure date for a trip of a price at least equal to the initial trip price. In case of a change arising during the trip, the supplementary charges will be directly paid at this time.


If the tour is cancelled by Swallow Travel, we will get you a full refund. Kindly note " Itineraries can be changed as a result of the uncontrollable weather conditions. In case of hotels, or Halong Bay cruises, being full booked or if they are under renovation, we will change the hotels and Halong Bay cruises to similar standard option."

​Cancellation refund is only valid for the services organized by Swallow Travel. Other services organized by you are NOT refundable.


Unused tickets during the trip won’t be reimbursed. Swallow Travel is not responsible in case of personal items lost or forgotten during the times of transportation.

Swallow Travel is not responsible in case of independent problems to the transportation supplier. Swallow Travel is not responsible in case of default records:

  • When the customer presents invalid booking number
  • When the customer does not present his/her booking number necessary to the trip

In case of these occurring issues, customer cannot claim any reimbursement. We highly recommend purchasing the international travel insurance for all trips. Travel insurance allows you to seek reimbursement if you are forced to cancel your trip for unforeseeable reasons, or if you need to cover medical help, emergency transport, and/or theft or accidental damage while traveling.
